The following steps will explain in detail how to add a new Opportunity.
1.First click on the Opportunities topic from the Contacts topic in the Main Menu. This will open the Find Opportunity search form. In the Find Opportunities form click the New button. Now a form appears with the label, "Find Customer/Prospect". This is a search form that you may use to find the customer/prospect involved in the new opportunity. Select a customer or prospect and the new opportunity form will open. The cursor will be flashing at the top of the form in the Opportunity ID field.
2.VisionCore will automatically assign a unique Opportunity ID for each opportunity since the program comes with the feature that allows automatic assigning of Opportunity IDs in the Starting Numbers form. You may disable this automatic assigning of Opportunity ID numbers by going to the VisionCore program's Main Menu, clicking on the following: the Company Preferences, the General Tab, the Starting Transaction Numbers button, in the Shortcuts area click on Contact Manager and uncheck the little white box to the right of the Opportunity Number field. With the Auto Opportunity ID checkbox disabled, you may assign a unique Opportunity ID which can be 20 alphanumeric characters in length. There are many different naming conventions to choose from when creating your ID's. When you have finished entering data for each field, press the TAB or ENTER key to move your cursor to the next field.
3.The Description field is used to enter a description about the opportunity.
4.The Date field will automatically be filled in with today's date. This can be changed to the date the opportunity is created, or a different date if you would like. Click the dropdown button next to this field to open the miniature calendar form where you can graphically enter the date.
5.Enter an amount in the Amount field.
6.The Product field is used to select an opportunity product from the list. Use the ellipse button if you want to add opportunity products that are not yet on the list.
7.In the Campaign field, select a campaign from where this opportunity is derived or created.
8.The Sales Rep field is used to assign a sales rep for the opportunity. All the entered sales reps in the Sales Rep form will be shown in the combo box.
9.In the Type field, select a type for this opportunity. The Type field is a great way to categorize and group your opportunities. There are a few default types that have been added when you created a new data file. Of course, you can edit this by clicking the ellipse button in Type Field, an Opportunity Type form will be opened and you can add or edit the type.
10.The Source is a great Campaign tool that enables you to track where your customers/prospects are finding out about you. You have the option of selecting Sources by clicking the drop down button as well as adding sources to the combo box by clicking on the ellipse button to open Opportunity Source form where you can add or edit Sources.
11.Enter a competitor in the Competitors field.
12.The Created By field is a read only field and it automatically reflects the date this opportunity was first input into the program.
13.The Modified date is a read only field and it automatically reflects the date this opportunity's record has been changed in any way.
14.The Stage field is used to determine the current stage of an opportunity. This is also used to track later on the opportunities that have materialized. There are pre-defined default types available that you can begin with. If you would want to add, edit or delete a stage, click the ellipse button to open the Opportunity Stages form.
15.In the Probability field enter the estimated percentage at which this opportunity would materialize.
16.The Estimated Revenue field is a read only field and it automatically reflects the estimated revenue computed after multiplying Amount entered in the Amount field and the Probability percentage.
17.In the Next Step field enter the next step to take for this opportunity.
18.In the Close field enter the date or click the dropdown button next to this field to open the miniature calendar form where you can graphically enter the date this opportunity is closed.
19.The Quote No field, by default, is blank. After processing this opportunity to Order, this field will hold the Order Number created. Use the ellipse button to bring you to the actual Order transaction.
20.The User field is used to store the names of different fields not yet available in the Opportunities form. You may add a number of user fields as you feel necessary.
21.In the Value field, type in the value (whether it be a phone number, an E-mail address, etc.).
The Notes tab displays a single line item list of all the notes that have been entered for the selected opportunity. Clicking on the ellipse button will open the Opportunity Notes form displaying the details of that Opportunity Note. All the fields in the opportunity notes are read only.
