Direct Deposit

The Direct Deposit form can be opened by clicking Payroll from the Main Menu. This form can be used to select paychecks to be directly deposited, generate file to be sent to financial institutions like depositing bank and view deposit history.

 

You will notice at the top of this form three tabs.  It is like having three forms connected together.  The three tabs are listed and described below.

 

File Contents tab

The File Contents tab is where you can select paychecks to be directly deposited.  Also, from this tab, you can create direct deposit template.

Generate Type field is defaulted to Deposit.

The Format field has 2 available options to select from, Template and NPC Pay.  Selecting Template will enable the Template combo box where you can either select from a pre-defined direct deposit template or create a new one.  By default, Template is the default setting of Format field.  Selecting NPC Pay will disable the Template combo box.

The Template field is defaulted to NACHA/ACH.  In this combo box there is an ellipse button that when clicked will open the Direct Deposit Template form, which is used to configure how a paycheck information be generated. The Template field will allow you to select a Direct Deposit Template to use.  By default, NACHA/ACH and WEB PAY will be available.

The Get Paychecks options’ All Undeposited and Pay Date.   This is used to filter paychecks that will be shown in the grid area.  It is only when ‘Pay Date’ option is selected where From and To field is enabled where you can set a date range of the paychecks to be displayed in the grid area.

Clicking Get Paychecks button will display all paychecks that match the Get Paychecks criteria configured.

Use the Select All button to select all paychecks displayed in the grid area.

Use the Clear All button to clear all paychecks from being selected.

 

Generate File tab

The Generate File tab is used to actually see a preview of how Paycheck information be shown in a generated file depending on the format specified in the Direct Deposit Template. Paycheck information will include and is not limited to Pay Date, Employee ID, Net Amount and Paycheck ID.

Bullet PointThe File Path field is used to set the location where you want the generated file be saved. Click on the ellipse button to browse for the file location.

Bullet PointThe Generate File button when clicked will save the content to a csv file.  If the file path is blank a save dialog will appear prior to generating the csv file.

Bullet PointClicking the Commit Deposit button will save the selected paycheck on the list of deposited transactions.

 

Deposit Audit Trail

The Deposit Audit Trail tab is used to show a detailed deposit paycheck listing of all the paychecks that were generated and committed.  This will show the Date/Time the paycheck was committed, the File Name where the file is located, the Workstation Name where it is generated and committed, the Employee ID, Employee Name, Paycheck ID and Deposited Amount

 

The OK button at the bottom of the form, which is shown in all the three tabs (File Contents, Generate File and Deposit Audit Trail) when clicked will close the Direct Deposit form.

 

Press F1 or click F1-Help button at the bottom left of the form for help on the form that is currently opened.
