Time Clock

The Time Clock form can be opened by clicking Payroll from the Main Menu.  This form is used to track the hours your employee is working.  It is like a sign in and out sheet, which allows you to process the hours worked into the process pay group form and create a paycheck using those hours.

 

The record navigation buttons at the bottom of the form are used to move from one time clock record to another.  It also displays how many records are in the time clock form and what record you are currently on.  Clicking on one of the four buttons will navigate you through your existing data.

 

Info Note that to use Time Clock Hours, you must select Use Time Clock Hours option in Company Preferences form, Payroll Tab.  If you select Use Time Clock Hours option, you will not be able to use the Timesheets.

 

You can add new time clock record by clicking on the New button at the top of the form.  The steps below will guide you on how to enter a new time clock record and then create a paycheck for those records.

1.Enter the Employee ID and Date.

2.The Process field will be defaulted to "False", which means that the time clock record for that employee has not been processed yet.

3.Click Display Military Time checkbox if you select to use military time.

4.In the Time Clock Line Item Detail enter the hours in and out for the entire day. You do this each day throughout the pay period.  On the last day of the pay period, when you are ready to generate a check, click on the Process button at the top of the form. The Hours you have entered will show up in the Hours column of the Process Pay Group form.

5.In the Process Pay Group form, you create your paycheck by clicking on the Paycheck button and those hours displayed will fill in on the paycheck.

 

Toolbar Buttons

Toolbar Buttons perform an action on the current record like adding, deleting or saving.

Bullet PointThe New button will clear the form to allow a new time clock record to be added.

Bullet PointThe Save button will save the changes made.

Bullet PointThe Find button will enable you to Find time clock records.

Bullet PointThe Delete button will delete the selected time clock record.

Bullet PointThe Undo button will cancel out the last change/s done to the record reverting it to its older state.

Bullet PointThe Process button will open the Process Pay Groups form to create paychecks.

Bullet PointThe Close button will close the form.

 

Press F1 or click F1-Help button at the bottom left of the form for help on the form that is currently opened.
